AV Digitisation Service. Get it right the first time - Learn to select the best services and tools for your AV digitisation project

AV archives are facing a totally different challenge than paper-based libraries and archives. In many cases, there is a far more urgent reason to digitise now! Carriers of the recent past and, in particular, analogue video and audio tapes, are subject to serious decay within the coming years. The decay of electro-magnetic carriers is disastrous and irreversible and, depending on the content (that is, if we even know the content), extremely urgent. Here, digitisation equals preservation because the analogue original will fade away in one or two decades and will be lost forever.

Acetate film content and recent digital AV content have different challenges and seem more comparable to the situation in non-AV archives. For this content it is not the irreversible loss that counts, but rather the value to society to have access to a digital version of the content and the cost of storing the analogue original.

Most AV archives, however, have a blend of the above: high value content and technical vulnerable content. And it is their limited resources to fulfill their preservation mission that inspired the focus of this Preservathon.

About the Preservathon

 

This Preservathon will provide context, meaningful discussions and insights into opportunities and challenges within the force-field where AV archives need to decide on what to preserve (selections), when to digitise (priorities), how to digitise (formats & technologies) and, above all, who to partner with.

Digitisation is a highly specialised and technical niche. Even though AV archives could consider building skills and competence themselves, it makes far more sense to develop long term business relationships with knowledgeable and reliable commercial partners. The Preservathon caters for this approach. It will provide a challenge to all attendees to learn to understand their own requirements and how these relate to existing vendor services and solutions. The challenge will set the scene for understanding the institutional requirement and needs and how to scale these to the initial thinking about RFI and RFP processes. During the Preservathon, participants will be supported by experts from major AV archives that went through this process over the last decade and they can consult a panel of experts from vendors and learn to understand how their services link to their specific challenge.

Practical Details

 

The Preservathon will take place on 13-14 November at VRT, Brussels, Belgium. The first day will be a hands-on workshop where teams will learn what is involved in selecting the best long-term audiovisual digitisation solution. The second day will host a mini-conference. This Preservathon is made possible by the Presto4U project.

 

Target Audience

 

Heads of archives and archivists, library and archive technologists, directors of collection care and IT advisors interested in the various motivations and priorities of digitisation for digital audiovisual media across different domains.

    Will have a better understanding of the concept of procurement and vendor rating;

    Will be able to map organizational requirements to the market of digitisation solutions;

    Selection of 4 - 6 target vendors and solutions for a Request for Information (RFI);

    Write a Request for Information (RFI);

    Draft a Request for Proposal (RFP) or tender for a digitisation solution.
